How to request coverage

Submit a request

An authorized facility representative shares the facility name, service location, requested dates and hours, anticipated length of assignment, the type of observation required, and any required qualifications.

SafeWatch identifies a match

We work to locate an appropriately qualified professional. Advance requests generally provide the best opportunity for successful placement; urgent requests will be considered, though immediate coverage cannot be guaranteed.

Confirmation & onboarding

An assignment is confirmed only after SafeWatch accepts the request and completes any required service documentation. We coordinate expectations, reporting procedures, and escalation protocols before service begins.

Support begins

Your assigned professional works alongside your team, follows facility protocols, documents observations, and communicates concerns promptly to authorized staff.

To protect privacy, detailed medical records or highly sensitive patient information should not be submitted through a general website form or unsecured email. SafeWatch will provide instructions for securely communicating any necessary confidential information.

Does SafeWatch provide nursing or medical care?

SafeWatch’s core service is focused observation and behavioral support. Our professionals do not replace nurses, certified nursing assistants, physicians, therapists, or other members of the clinical care team — we strengthen it.

Unless expressly authorized through a written agreement and assigned to an appropriately credentialed professional, SafeWatch personnel do not assess medical conditions, administer medications, make clinical decisions, or provide medical treatment.

Can we request a specific SafeWatch professional?

You may identify a preferred professional, and we will consider that request when scheduling future coverage. The requested person may not always be available or qualified for every assignment; when unavailable, SafeWatch may offer another qualified individual for your consideration.

How are scheduling changes and cancellations handled?

Please submit scheduling changes and cancellations as early as possible using the approved SafeWatch communication process. Cancellation deadlines and any applicable charges are explained in the client service agreement. If an assigned professional becomes unavailable, we make reasonable efforts to identify a replacement, though replacement coverage cannot be guaranteed in every circumstance.

How is time worked and billing verified?

SafeWatch may use approved electronic records, facility-verified timesheets, or supervisor confirmation to document arrival, departure, and total time worked. Invoices are prepared according to the rates, minimum hours, overtime provisions, and payment schedule contained in the client service agreement.

What happens during a safety concern or emergency?

SafeWatch professionals follow the contracting organization’s emergency procedures and immediately notify the appropriate nurse, supervisor, or emergency responder when a concern arises. In a life-threatening emergency, facility personnel should call 911 or activate the facility’s emergency-response system — the SafeWatch website and general contact channels must never be used to report an active emergency.
